The 7 Software Systems Every Business Owner Should Use
We know what you’re thinking – do I really need seven software systems?
The answer: maybe. At the very least, you should consider each of these types of software to see how it could benefit your business, saving you time and resources.
1. CRM System (Customer Relationship Management)
If you have a sales team or look after customers, a CRM system is a must! By using one, you can track all the information you need about your customers in one program, so things are never missed. In a CRM system, you will be able to make notes about previous calls, book appointments for follow-up calls, track your sales, and grow a database so that you can reach out to more people when you release new things in the future.
There are many different CRM systems out there, all offering different benefits, so it’s important to do your research and read the reviews before deciding which one to use.
2. Accounts Package
Every business should be using an accounts package to support them with their finances. Accounts packages will help you keep track of your expenses, track how your revenue is doing as well as be able to run monthly reports and invoice clients. Depending on how big your business is, there are different accounting software that you can use.
Before signing up for one, we recommend reaching out to your accountant, as they will be able to recommend the best one for you. Often, your accountant will have a preferred software, which they work with more than others.
3. Graphic Design Software
Graphic design may not be your strong point, but a lot of the software will support you to help you create good designs, especially now there is AI. You should be using design software to help you with your social media posts as well as with any marketing materials you have, such as flyers, brochures, or PowerPoints. Some graphic design software will cost, such as Adobe Photoshop or Adobe Illustrator, whereas there are some free software that a lot of businesses will use, like Canva. Depending on how much you are going to use the software will help you decide whether it’s worth paying for that and if the premium benefits are worth it.
4. SEO Software
SEO is short for search engine optimization and is the most important thing for any online business. When your SEO is doing well, you’ll rank higher on Google, which will lead to more traffic coming to your website, which you can convert into sales. To improve your SEO there are numerous tools you can use, such as MOZ, SEMrush, or Ahrefs. What these tools do is tell you the difficulty of the keywords you would like to rank for and if you are likely to do so. They will also run reports on your site and suggest any changes that you should make to ensure your website is search-friendly.
A common mistake people make when they don’t know much about a website is uploading too high res images on their website, which can slow it down, and not putting in ALT tags. Heading on websites can also be an issue sometimes, as can your meta descriptions.
5. Collaborating Software
Being able to collaborate with your clients or employees is very important and there is a plethora of software that you can use to help you do so. The first one that comes to mind is Team. Created by Microsoft, it allows you to have a video call and message your client or employees instantly. Another software that you might have heard of that also does this is Zoom or Skype.
Slack is also a collaborating software that many businesses use due to its versatility. Each of these has a cost attached to it, so do your research and see which ones will benefit you the most for the costs they charge.
6. Email Marketing Software
Email marketing is key to reaching out to your current customer base. You can use email marketing software to create a newsletter that you will send to your customers updating them on your current offering. Many companies send out their discounts in a newsletter and share news about what’s happening with them. You can add a newsletter sign-up on your website to try and grow your database.
Mailchimp is a very popular email marketing software that a few major companies use. Get Response is another business that uses it, as are Hubspot and Brevo. They all have their own USP, which might suit your requirements better.
7. Custom Software
Above, we have talked about software that is very useful and that every business should be using in some capacity. What we haven’t mentioned is the custom software you can create for your own specific needs. If you are a medium to large business, you may have the budget to create a specific software that will help you solve an issue you are having. There are plenty of agencies out there that you can reach out to and have a conversation about what you need to be done. A lot of the time, they are willing to sign an NDA, meaning they won’t share the software you are thinking of with anyone else.
Hopefully, we have included a few software options that you haven’t considered before and will start using. Every month, a new piece of tech is launched, so always keep your eye out for something new that can help you perform better at work.
